Data protection at a glance

At Delphis Dialog (hereinafter referred to as "we") we’re proud of our long-standing customer relationships. We place a lot of value on trust. That’s why protecting information and data about those relationships is a major aspect of our work. Please refer to the Data Protection Policy in this text for detailed information about data privacy. If you have any questions about it, please don’t hesitate to ask.

1. Providing agency services

We process data exclusively as part of the contractual services we supply in the field of event marketing. This includes conceptual and strategic advice, event planning and organisation, handling and implementing event services including design and software development/consulting and updating, server administration, data analysis and training services.

In this context we process stock data (such as customer master data like names, positions, addresses), contact details (such as e-mail, telephone numbers), content data (such as entered text, photographs, videos), contractual details (such as the subject and duration of contracts), payment details (such as bank details, payment history), usage and meta data (such as the data collected as part of evaluating and measuring the success of marketing activities). 

We basically do not process particular categories of personal data, except if they are a component of processing that has been commissioned. Our data subjects include our customers, prospective customers and their customers, users, website visitors and employees, as well as partners who help us to provide event services. The purpose of processing is to supply contractual services, to invoice and to provide customer services.

The legal foundations for processing are contained in Art. 6 Par. 1 lit. b GDPR (contractual services), Art. 6 Par. 1 lit. f GDPR (analysis, statistics, optimisation, security activities). We process data needed to justify and fulfil contractual services, and we mention whenever it is necessary to provide that data. We only reveal data to external parties if necessary as part of an order. When we process data given to us as part of an order, we handle it with great care in compliance with the customer’s instructions and legal regulations governing the processing of orders pursuant to Art. 28 GDPR and we do not process data for any other purpose apart from those involving the order.

We delete the data once statutory guarantee and similar duties have lapsed. Every three years we assess the necessity to archive data. In the event of statutory archiving duties, data is deleted after these expire (6 years according to § 257 Par. 1 German Commercial Code, 10 years according to § 147 Par. 1 German Revenue Code). In the case of data revealed to us by a customer as part of an order, we delete that data according to the dictates of the order and generally speaking after it is complete.

The following gives a simple overview of what happens to your personal information when you visit our website. Personal information is any data with which you could be personally identified. Detailed information on the subject of data protection can be found in our privacy policy found below.

Who is responsible for the data collection on our website?
The data collected on this website are processed by the website operator. Our contact details can be found in the website’s required legal notice.

How do we collect your data?
Some data are collected when you provide it to us. This could, for example, be data you enter on a contact form or the data you are sending to us with an direct E-Mail.

Other data are collected automatically by our IT systems when you visit the website. These data are primarily technical data such as the browser and operating system you are using or when you accessed the page. These data are collected automatically as soon as you enter our website.

What do we use your data for?
Part of the data is collected to ensure the proper functioning of the website. Other data can be used to analyse how visitors use the site.

What rights do you have regarding your data?
You always have the right to request information about your stored data, its origin, its recipients, and the purpose of its collection at no charge. You also have the right to request that it be corrected, blocked, or deleted. You can contact us at any time using the address given in the legal notice if you have further questions about the issue of privacy and data protection. You may also, of course, file a complaint with the competent regulatory authorities.

Analytics and third-party tools
When visiting our website, statistical analyses may be made of your surfing behaviour. This happens primarily using cookies and analytics. The analysis of your surfing behaviour is usually anonymous, i.e. we will not be able to identify you from this data. You can object to this analysis or prevent it by not using certain tools. Right to data portability
You have the right to have data which we process based on your consent or in fulfilment of a contract automatically delivered to yourself or to a third party in a standard, machine-readable format. If you require the direct transfer of data to another responsible party, this will only be done to the extent technically feasible.

SSL or TLS encryption
This site uses SSL or TLS encryption for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the site operator. You can recognize an encrypted connection in your browser’s address line when it changes from “http://” to “https://” and the lock icon is displayed in your browser’s address bar.

If SSL or TLS encryption is activated, the data you transfer to us cannot be read by third parties.

Information, blocking, deletion

As permitted by law, you have the right to be provided at any time with information about any of your personal data that is stored as well as its origin, the recipient and the purpose for which it has been processed. You also have the right to have this data corrected, blocked or deleted. 5. Data collection on our website

The website provider automatically collects and stores information that your browser automatically transmits to us in “server log files”. These are:

  • Operating system used
  • Website from which our site was accessed (Referrer URL)
  • Host name of the accessing computer

  • IP address

These data will not be combined with data from other sources.

The basis for data processing is Art. 6 (1) (f) DSGVO, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.

Contact form

Should you send us questions via the contact form / e-mail, we will collect the data entered on the form, including the contact details you provide, to answer your question and any follow-up questions. We do not share this information without your permission.

We will, therefore, process any data you enter onto the contact form / e-mail only with your consent per Art. 6 (1)(a) DSGVO. You may revoke your consent at any time. An informal email making this request is sufficient. The data processed before we receive your request may still be legally processed.

We will retain the data you provide on the contact form / via E-Mail until you request its deletion, revoke your consent for its storage, or the purpose for its storage no longer pertains (e.g. after fulfilling your request). Any mandatory statutory provisions, especially those regarding mandatory data retention periods, remain unaffected by this provision.

6. Analytics and advertising

Google Analytics uses so-called “cookies”. These are text files that are stored on your computer and that allow an analysis of the use of the website by you. Functions of the Twitter service are integrated on our website. These functions are provided by Twitter Inc., 1355 Market Street, Suite 900, San Francisco, CA 94103, USA.

By using Twitter and the “Retweet” function, the pages you have visited will be linked to your Twitter account and shared with other users. In the process, data is also transferred to Twitter.

Google Web Fonts

For uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

For this purpose your browser has to establish a direct connection to Google servers. Google thus becomes aware that our web page was accessed via your IP address. The use of Google Web fonts is done in the interest of a uniform and attractive presentation of our website. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

8. Ways of contacting us through the website

The law stipulates that this website must contain details that enable you to get in touch with our company quickly by electronic means, and which enable direct communication with us; this includes a general email address. If you contact us by email or using a contact form on this website, then the personal data you give us will be automatically stored. This kind of personal data which you provide us voluntarily will be stored for the purposes of processing and being in contact. This personal data is not passed onto others.

9. Newsletter

The following information tells you about the content of our newsletter, the process of registering, sending and statistical evaluation and your rights to contest. When you subscribe to our newsletter and do not unsubscribe from it, you declare your consent for receiving it and the processes described.

Content of newsletter
We send newsletters, emails and other electronic messages containing advertising information (referred to as ‘newsletter’) only with the recipient’s consent or with statutory authority. If a newsletter’s content is described specifically when you register for it, then that content is that for which the user gives consent. Other than that, our newsletters contain information about our services and ourselves.

The newsletter is delivered and its success measured accordingly on the basis of the recipient’s consent pursuant to Art. 6 Par. 1 lit. a, Art. 7 GDPR in conjunction with § 7 Par. 2 Nr. 3 UWG (German Fair Trade Law) or, if consent is not necessary, on the basis of our legitimate interest in direct marketing pursuant to Art. 6 Par. 1 lt. f. GDPR in conjunction with § 7 Par. 3 UWG. The Delphis Dialog internal newsletter is sent via our own mail server Office 365 in conjunction with the program

Storing data

Delphis Dialog stores the address details of customers and partners in protected and partially exclusive project-based database systems. We only use this data for direct communication and for sending newsletters. We do not collect any other data.

Deleting data
Because the Delphis Dialog internal newsletter is sent and received depending on your consent, you can revoke that consent to collect and store your data at any time without providing a reason. To do so, use the ‘Unsubscribe’ link in the newsletter.

You may request deletion at any time, provided you confirm that your consent previously existed. We are allowed to retain the email addresses we remove for up to three years on the basis of our legitimate interest in demonstrating that consent did once exist. This data is processed for the purpose of disputing any claims. The logging of the registration process is done on the basis of our legitimate interests pursuant to Art. 6 Par. 1 lit. f GDPR. Our interests are in supplying a user-friendly and secure newsletter system that serves our business interests and the expectations of users, and which permits us to demonstrate recipients’ consent. 

10. Amendment to Data Protection Policy

We expressly reserve the right to amend this Data Protection Policy from time to time as needed. Amendments to this Data Protection Policy will be published on our website. Amendments apply from the time they are published on the website.
